Terms of Use
Draft. This text is being reviewed by an attorney and may change before SunriseHours launches. Questions: robert@sunrisehours.com.
Effective date: [date]
1. Who we are
SunriseHours is a website and app that high-school work-based learning programs use to log and check internship hours. [SunriseHours LLC] runs it. We are a small Ohio company. In these Terms, "we" and "us" mean [SunriseHours LLC]. "You" means the person using SunriseHours.
2. Your school is in charge of school accounts
If you have an account because of a school program, your school has a contract with us. (Your school might be a school district or a career center.) That contract includes a student data privacy agreement. The school's contract comes first. If these Terms say something different, the school's contract wins.
Your school decides:
- who gets an account;
- what information goes into SunriseHours;
- which features are turned on; and
- what happens to the records.
Do you want to see, fix or delete school records? Ask your school. We follow the school's instructions.
3. Who can use SunriseHours
- Students in high-school programs, invited by their school. SunriseHours is not for children under 13. If you are under 13, please do not use it, and tell your school.
- School staff, employer supervisors and parents or guardians that the school invites.
- Anyone can visit our public website.
If you are under 18, your school has agreed to the school contract. Please read these Terms with a parent or guardian if you can.
4. Your account and keeping it safe
- Keep your password private. Do not share your account or use anyone else's.
- Use a strong password. It must be at least 12 characters. We will not accept common passwords, or passwords that have shown up in data leaks.
- Two-step sign-in. Sometimes we email you a 6-digit code to prove it is really you. Codes expire after 10 minutes. Never give a code to anyone. We will never ask you for one. Some accounts must always use this step.
- Sign in with your school account. If your school turns it on, you can sign in with your school Google, Microsoft or ClassLink account.
- Sign out on shared computers. On your own device, SunriseHours keeps you signed in for a while so you do not have to sign in every time.
- Tell someone fast. If you think someone else used your account, tell your school or email support@sunrisehours.com right away.
5. Rules for everyone
Be honest.
- Students: log only hours you really worked.
- Supervisors: verify only hours you really supervised or can confirm.
- Logging hours you did not work, or verifying hours you did not supervise, may be reported to your school. The school decides what happens next.
Be respectful. Treat people in messages the way you would at work.
Do not:
- harass, bully or threaten anyone, or send hateful or sexual messages;
- post someone else's private information without permission, such as their address, phone number, photos or grades;
- put health, medical, disability or counseling details in notes, messages or reasons for missed days. If your school needs that kind of information, give it to the school another way;
- try to see other people's information, or use someone else's account;
- test, probe, scan or attack SunriseHours; copy data with bots or scrapers; overload it; or try to get around its security;
- use SunriseHours for anything illegal, or to advertise or sell things.
SunriseHours is not for emergencies. Messages may not be read right away. If someone is in danger, call 911.
Found a security problem? Email security@sunrisehours.com. Please do not look at or change other people's information while you check.
6. Extra rules for employer supervisors
You can see student information because the school allows it for one purpose: to supervise, verify and evaluate the student's work at your workplace.
- Use it only for that purpose.
- Keep it confidential. Do not share it. Do not pass student information to anyone else without the school's written permission or the written consent of the parent (or of the student, if 18 or older). "Anyone else" includes coworkers who do not supervise in the program, other students, and anyone outside your organization. Federal law (34 CFR 99.33(a)) and Ohio law (ORC 3319.321(B)(3)) require this.
- Do not keep copies of student information outside SunriseHours, except as the school allows.
- Your verification is a statement to the school. When you mark hours as verified, you are telling the school they are accurate to the best of your knowledge. If they are not, mark them incorrect and say why.
- Write evaluations honestly, and about work. Students and parents have a legal right to see school records, so they may read what you write.
- Tell the school if your role changes. If you leave the job or stop supervising, tell the school so it can close your access.
Sharing student records improperly is serious. Federal rules can require the school to cut off your organization's access to student records for at least five years (34 CFR 99.67(e)).
7. Parents and guardians
- Your account is read-only. You see only the student or students your school linked to you.
- You can see the hours calendar, totals and pace; placements and the supervisor's name; whether reflections and evaluations are done (not what they say); and announcements.
- You cannot see messages, notes or other students.
- Your school controls parent access. Your rights to see and correct your child's education records go through the school. When a student turns 18, those rights usually pass to the student, and the school may end your access.
- Please keep what you see private.
8. What you put in SunriseHours
- You keep any rights you have in what you write or upload, such as reflections, notes, messages and photos.
- The school controls the record. What you put in SunriseHours becomes part of your school's records. The school decides how long it is kept.
- We use it only to run SunriseHours for your school. We never sell it and never use it for ads.
- Photos: use only a photo of yourself, and keep it appropriate. We remove hidden location data from photos when you upload them.
- Only post what you are allowed to post. By posting something, you are telling us you have the right to do so.
9. The record is kept: mistakes are fixed, not erased
SunriseHours is a record, like a timesheet that cannot be secretly changed.
- When hours are changed, the old entry is kept and marked "corrected" or "removed". The record shows who made the change and when.
- When you clear a note, it is kept in the school's record.
- A log of important actions, showing who changed what and when, is kept. It is built so it cannot be edited.
This protects you, because everyone can see what really happened. If something is wrong, ask your school to correct it. Only your school can ask us to delete records. We delete them when the law and the school's contract say to.
10. Privacy
Our Privacy Policy explains what we collect, why, and your rights. Read it at sunrisehours.com/privacy.
The short version:
- we never sell your information;
- we never show ads;
- we never market to students or parents;
- we do not track your location; and
- your school owns the records.
11. Accessibility
We want everyone to be able to use SunriseHours. Our accessibility statement is at sunrisehours.com/accessibility.
SunriseHours lets you change the text size and turn on high contrast, color-blind symbols, and light or dark colors.
If something gets in your way, email accessibility@sunrisehours.com or call [business phone]. We will reply within [2 business days] and help you another way while we fix it. You can also contact your school's ADA or 504 coordinator.
12. Visiting our website
Our public website (sunrisehours.com) has no student information.
Cookies. The website sets no cookies and runs no analytics or advertising scripts.
The SunriseHours app uses three essential cookies:
- one keeps you signed in;
- one lasts 10 minutes while you are signing in; and
- one remembers a trusted device for 30 days, if you choose that.
There are no advertising or tracking cookies.
If you email us, we use your message only to reply to you.
13. If someone breaks these rules
- School accounts: we tell the school, and the school decides what happens.
- Emergencies: to stop a security threat or protect someone, we may lock an account right away. We tell the school the same day.
- Your school can end your access at any time, for example when you leave the program.
- If your account ends, the school's records stay with the school.
14. Changes
- To SunriseHours: we keep improving it, so screens and features may change.
- To these Terms: we will post any change with a new effective date. For important changes, we tell schools at least 30 days ahead and show a notice in the app. A change will never reduce the privacy protection for information already collected unless the school agrees.
15. Our promises and their limits
- You do not pay us. Your school pays for SunriseHours.
- We work hard to keep SunriseHours running and accurate. But we cannot promise it will never be down or never have a mistake. Keep track of anything important with your school too.
- To the extent the law allows, we provide SunriseHours to individual users "as is". We are not responsible for indirect losses. Our total responsibility to any individual user is limited to [$100].
- Nothing in these Terms takes away rights you have under consumer-protection or other laws that cannot be waived. Nothing limits our responsibility for our own gross negligence or willful misconduct, or for anything the law does not let us limit.
- If you have a problem, please contact us first so we can try to fix it. You do not give up your right to go to court, and you do not have to use arbitration.
16. Ohio law
Ohio law applies to these Terms. Any court case will be in Ohio courts. For school accounts, the school's contract decides where disputes between the school and us are heard.
